Signup Experience

Sign in with a Microsoft account or work email. For personal use the free Microsoft account works. For business, Microsoft 365 IT provisioning puts Teams in place automatically — the app is often already installed. The desktop app is required for full functionality; the web version is limited. First-time setup involves choosing or joining a team and setting up channels. If Microsoft 365 is already deployed at your org, Teams is already there waiting.

For Home Users

The free personal tier supports video calls, chat, and file sharing. A reasonable choice if family or friends are in the Microsoft ecosystem. Microsoft simplified the personal product in recent years but it has not gained traction against FaceTime or WhatsApp for casual use. For gaming and communities, Discord is more natural. Most home users who encounter Teams are using it for work calls rather than by personal choice.

For Business Users

Teams is the default communication layer for any org already paying for Microsoft 365. Business Basic at $6/user/mo includes Teams, Exchange, SharePoint, and OneDrive. Business Standard at $12/user/mo adds desktop Office apps. The integration with Outlook, SharePoint, and OneDrive is the main advantage over Slack. The UX has historically been criticized for inconsistency — separate chat and channels, a confusing notification model, and sluggish performance on older hardware. Copilot AI features require Microsoft 365 Copilot at $30/user/mo on top. For orgs with Microsoft 365 already deployed, Teams is the obvious choice. For engineering-led companies without existing Microsoft investment, Slack is still preferred.

Our Verdict

Microsoft Teams is the quintessential "tolerated, not loved" tool. The M365 integration and compliance certifications make it a natural fit for enterprise Microsoft organizations. The reality is most users would choose something else if given the option — performance issues (especially on Mac), unreliable notifications, and a cluttered UI undermine the experience. Best suited for organizations where Teams comes free with M365.
