For most small sales teams the real choice is between Essential at $14 per user per month and Advanced at $29, and the extra $15 is usually worth it once you have more than a couple of reps. Here is how the whole ladder breaks down, where the costs hide, and who should skip it.

These are the per-seat list prices we track on our Pipedrive profile. Pipedrive can adjust tiers and billing terms, so confirm on their pricing page before you commit. Prices are per user, so a five-person team on Advanced is roughly $145 a month, not $29.

What you get at each level

Essential: $14 per user

Essential is the entry point. You get the part Pipedrive is famous for, the drag-and-drop visual pipeline, along with customizable pipeline stages and a cap of around 3,000 open deals in our tracking. For a freelancer, consultant, or one-person agency, that is plenty. You can log calls, emails, and meetings as activities and get reminders that nudge you to follow up.

What is missing is the stuff that saves time at scale. Email sync and meaningful automation sit one tier up, which is why Essential feels more like a tidy digital sticky-note board than a full CRM. If you are copying and pasting email threads into deal notes by hand, you will resent it within a month.

Advanced: $29 per user

This is the plan we would point most small teams toward. It adds two-way email sync with Gmail and Outlook, workflow automations, and a higher deal limit (about 10,000 in our tracking). Email sync alone changes how reps work, because conversations attach themselves to the right deal without anyone remembering to log them.

Automations are the other big win. Things like "when a deal moves to Proposal Sent, create a follow-up task for three days later" take a few minutes to set up and remove a whole category of dropped balls. If your team is two to ten people and sells to a modest number of accounts, Advanced is the sweet spot between price and capability.

Professional: $49 per user

Professional is where Pipedrive starts reaching toward larger teams: better reporting, revenue forecasting, and more control over how the account is set up. The jump from $29 to $49 is a 69 percent increase per seat, so it needs a real reason. Good reasons are a sales manager who needs forecasts they can trust, or a process complicated enough that the Advanced limits keep getting in the way. A bad reason is "we might need it later."

Power ($64) and Enterprise ($99)

Power and Enterprise are aimed at bigger organizations with heavier requirements, such as stronger security controls, more admin permissions, and implementation support. At $99 a seat, a ten-person team pays close to $1,000 a month before any add-ons. At that point you are in the same price range as Salesforce or HubSpot's mid-tier plans, and it is worth comparing them directly. If you are a small team reading this article, you probably do not need either.

The costs that are not on the plan card

Per-seat pricing is only part of the bill. A few things worth knowing before you add up the total:

  • ▸Campaigns add-on: Pipedrive's email marketing tool runs about $16 per month extra in our tracking. If you want newsletters or drip campaigns from the same system, add that to your budget. Many teams just pair Pipedrive with a dedicated email tool instead.
  • ▸Other add-ons: Pipedrive sells extras for things like lead generation, document handling, and scheduling. Each one is priced separately and they stack up. Decide up front which you really need.
  • ▸Billing term: Pipedrive typically lists lower prices for annual billing and higher ones for month-to-month. Check which one you are looking at, because a monthly commitment can cost noticeably more per seat.
  • ▸Seat count: Everyone who needs to log in and touch deals needs a seat. Managers who only look at dashboards still count.

A realistic example: a five-person team on Advanced with Campaigns is about $145 for seats plus $16 for the add-on, so roughly $161 a month before taxes. That is still modest next to enterprise CRMs, but it is not the $29 headline number.

Pros

  • ▸Built for salespeople. The pipeline view is the product, and reps tend to actually use it. Adoption is the thing that kills most CRM rollouts, and Pipedrive handles it better than most.

  • ▸Good value at the low end. Advanced gives you email sync and automation for a price that is easy to justify.

Cons

  • ▸No free tier. There is a free trial, but if you want a permanent free plan to test with, HubSpot's free CRM is the better starting point.
  • ▸Reporting is lighter than the big players. Salesforce and HubSpot's higher tiers go deeper. If you live in dashboards, you will hit the ceiling.
  • ▸Marketing is an add-on. Pipedrive is a sales CRM, not an all-in-one platform. Combining marketing and sales means paying more or integrating a second tool.

Who should pick which plan

Solo seller or tiny agency: Essential is fine if you only need to keep deals organized. If you also live in Gmail or Outlook, spend the extra $15 and take Advanced.

Team of two to ten: Advanced. Email sync and automation pay for themselves in saved admin time almost immediately.

Team with a sales manager who needs forecasts: Professional, but only for the people who need those features if your setup allows mixed plans. Check how Pipedrive handles that on your account before assuming.

Against HubSpot, Pipedrive is cheaper for pure sales use and easier for reps, while HubSpot wins on free tier, marketing tools, and reporting. For a small team, the honest recommendation is simple: run the free trial on Advanced, set up one real pipeline with real deals, and see whether your reps open it voluntarily. If they do, the $29 per seat is easy to justify. If they do not, no plan level will fix that.

Do not buy Professional or higher on day one. Upgrade when a concrete limit blocks you, and keep the add-on list short. Prices and plan contents change, so verify current numbers on Pipedrive's site before you buy.
